Buyer Tools — Specification and Cost Comparison - GoodTradeCenter

Buyer Tools

Sourcing decisions go wrong less often because of a bad supplier than because of an unclear specification. The tools on this page exist to remove that ambiguity: they help you describe what you need precisely, convert it into terms a supplier can quote against, and compare the offers that come back on a like-for-like basis.

Specification checklist

Before sending an inquiry, confirm the brief covers the fields that determine whether a quotation is usable:

A brief covering all six fields typically produces a quotation you can act on directly. A brief missing two or three produces a round of clarifying emails that costs both sides a week.

Unit price normalisation

Comparable pricing requires a common unit. Suppliers quote per kilogram, per litre, per vial, per carton or per drum, and a headline price is meaningless without the unit and the pack size attached. When you compare offers, convert every quotation to a single unit — cost per kilogram of active ingredient is usually the most useful — and record the specification alongside it. Two prices that differ by 40% are often the same value once the purity and pack size are taken into account.

Landed cost worksheet

Unit price is not landed cost. A complete comparison adds freight, insurance, customs duty, taxes, inspection cost and any labelling or repackaging required at destination, then divides the total by the quantity you will actually use. Buyers are frequently surprised by how much the ranking of two suppliers changes once freight and duty are included, particularly when one supplier's price advantage comes from a smaller pack size that ships less efficiently.

Inquiry and comparison workflow

Post one structured requirement rather than sending five differently-worded emails, and let suppliers answer the same brief. You then compare responses side by side on specification, unit price, minimum quantity, lead time and payment terms, which is exactly the comparison the platform's inquiry route is designed to produce. Where a category is new to you, request a sample before committing to a production quantity — it is the cheapest single step available for reducing risk.
